Terms & Conditions of Enrollment

Admissions & Application Process Verification

Students must be accepted by American Language Academy before signing an Enrollment Agreement with ALA. To have been accepted, the student must have completed all steps and requirements within the admissions and application process. Students must be issued an official Acceptance Letter before completing the Enrollment Agreement process.

Student Identification Verification Policy

ALA adheres to a Student Identification Verification policy in compliance with regulations that require verification of a student’s identity within a distance education course or program. ALA has established processes to verify that a student registered in a course or program is the same student who participates in and completes the course or program and receives a certificate of completion. The Student Identification Verification policy is applicable to all American Language Academy students from the application for admissions stage, throughout the program through graduation, and transfer or withdrawal from American Language Academy.

The methods used by American Language Academy to verify the identity of students enrolled in the distance education programs included but are not limited to the following:

A. Identification by Documents

Copy of Passport in color and Government-Issued Photo Identification card or document in color. Students must submit these documents in accordance to American Language Academy’s admissions policies and requirements. ALA reserves the right to request additional sources of identification as described in our admissions policies and requirements.

B. Individual: Student ID, Email, and Secure Login and Passcode

Students are assigned a student identification number, ALA email, and a secure login and initial password once enrolled at ALA. Upon initial login the student will be required to provide a unique password for security purposes. These assigned identifiers are used to access ALA’s learning management system (LMS), where students complete assignments and coursework. Students also have access to a personal student account, ALA’s student information system (SIS), to access only their grades and attendance records. Any misuse of accounts (including: sharing account information with another individual, attempting to obtain or obtaining an account for malicious use, and false identification or attempted false identification) shall be cause for immediate disciplinary action as listed in the Student Catalog.

C. Identification by Instructor

Instructors will verify student identity on the first day of instruction using the photo and name on the identification provided at the time of admissions and enrollment.

D. Proctored Examinations

Student identity is periodically verified through the use of proctored examinations. Students are required to provide their full name, date of birth, and student identification number prior to taking the examination.

Pre-Enrollment Disclosures

Before signing an Enrollment Agreement, the student must receive the following information and understand all terms and conditions associated with enrollment at American Language Academy. The student should receive: description of programs and courses, admissions and enrollment policies, tuition and course fees information, cancellation, withdrawal, and refund information, example of tuition refund amount, and services provided by ALA.

Enrollment Agreement for Educational Services

The SkyCampus Enrollment Agreement is an agreement for educational services provided by ALA. A student shall enroll solely by means of executing an enrollment agreement. In order to maintain enrollment, the enrollment agreement shall be signed by the student and by an authorized employee of the American Language Academy. The enrollment agreement is legally binding when signed by the student and accepted by the institution.

Tuition & Fees Payment Policy

After a student registers for classes, a Student Account Invoice will be generated and given to the student for payment. Fees and tuition can be paid in cash, by money order, personal check, or credit card. All tuition payments must be received before the start of the session in order to reserve a student’s seat. All additional course fees must be paid before a student can attend class.

If ALA does not receive payment before the start of the session (if the student is not on a payment plan) the student’s seat will be canceled and the program start date will be changed to the next available session.

All students have the option to apply for the Discount Scholarship. Students who prepay for three sessions or more will be able to receive a discount on tuition fees. Students can apply for a Discount Scholarship through the Admissions office.

Non-Refundable Fees

Students are required to pay the $50.00 application fee for programs and courses and $150.00 registration fee for English Language Programs; totaling $200.00 for the English Language Programs and $50 for the test preparation courses. These fees are non-refundable, unless the cancellation is made within the 5-day cancellation period.

Scholarships, Discounts, and Loans

Scholarships/Discounts- are available for qualified candidates. Students will have to schedule a meeting with the President of ALA. For more details, you can contact the Admissions Office at admissions@ala.edu or inquire@ala.edu.

If a sponsor is paying on a student’s behalf, that student must present information from the sponsor in the form of a Financial Letter of Guarantee. If a student is on a financial scholarship from his or her government, he or she should make sure the expiration date is valid through the end of the program date.

Students who are on a scholarship and decide to withdraw during the session will be responsible for satisfying any balance that is remaining. Also, if students miss class for travel during a session they will have to pay ALA in advance for the days that will be missed.

For those students who are on a scholarship their progress will be closely monitored and reported to their sponsor during the entire length of their study at ALA.

Scholarship students are responsible for knowing and following any additional requirements imposed by their sponsors.

Loans- If you, as a student at ALA, obtain a loan to pay for our program, you will have to repay the full amount of the loan plus interest, less the amount of any refund. If you receive federal student financial aid funds, you are entitled to a refund of the money not paid from federal financial aid funds.

If the student defaults on a federal or state loan, both the following may occur:

The federal or state government or a loan guarantee agency may take action against the student, including applying any income tax refund to which the person is entitled to reduce the balance owed on the loan.
The student may not be eligible for any other federal student financial aid at another institution or other government financial assistance until the loan is repaid.
Cancellation & Refund Policy

A student has the right to withdraw from or request a course or program cancellation at any time. All withdrawals and cancellation requests must be submitted through the Student Services Office by using a withdrawal and cancellation form; this form can be submitted through:

Mailed to American Language Academy's office at 2 Centerview Drive, Greensboro, NC 27407, USA.
If a student chooses to withdraw from a course or program, the student is responsible for adhering to American Language Academy's policies and procedures regarding withdrawal and cancellation.

Cancellation Period & Withdrawal Policy

American Language Academy provides a five (5) day cancellation period from the time an enrollment agreement is signed by a student to enroll in a course or program. If a student makes the decision to cancel or withdraw from his or her course or program and notifies American Language Academy within five (5) days of signing the enrollment agreement, American Language Academy will provide the student a full refund. If a student makes the decision to cancel or withdraw from his or her course or program after the five (5) day cancellation period and before completing the first week of session, the student will receive a full refund except for the $50.00 Application Fee and $150.00 Registration Fee.

For ALA purposes, students are considered "withdrawn" when the student submits formally in writing a withdrawal notification and when ALA terminates the enrollment of a student.

Tuition Based Refund Policy

A student who has completed more than four (4) weeks of a course of instruction is not entitled to a refund for tuition or other itemized charges. If a student has completed four (4) weeks or less of a course of instruction, he or she is entitled to a prorated refund based on the unused portion of tuition and other itemized charges. If the student cancels or withdraws from a course or program after the cancellation period and after having signed the enrollment agreement, the student is obligated to pay for instructional services rendered and the nonrefundable $50.00 Application Fee and $150.00 Registration Fee.

American Language Academy will issue the refund entitled to the student within thirty (30) days of the withdrawal or cancellation notice. Students are not required to return any materials received during the program unless specifically notified.

Late Registration Fee & Enrollment

There is a $100 fee for any late registration (if student does not pay tuition before the first day of class). Any request for late registration requires the approval of the Program Director.

ALA has an open enrollment that allows students to join class sessions in progress. However, students that enroll late are likely to not progress to the next level at the end of the session.

If a student begins attending classes late, absences from class will begin accruing from the first day that classes are scheduled to start. A student is considered late any day after the first day of scheduled classes. Absences for ALA’s academic attendance policy will begin to be counted from the first day classes are held in a session. ALA does not accept excuses for any reason for academic attendance. Students can miss a total of 40 hours of class without jeopardizing their Academic status. Passing a level at ALA requires a grade of 80 or higher and satisfaction of the academic attendance requirements.

Note: Students who begin a class session 8 or more days late will very likely need to repeat the class they are currently assigned to. This is because the students have already missed a substantial amount of instruction in class and the students are beginning the term with a high number of absences already on their record. Any exceptions to this will be identified by the teacher, based on student grades and class performance.

Students who join ALA but do not begin classes on the first day of a term are required to go through the standard procedures which every new student undergoes.

Collections

American Language Academy adheres to ethical and sound business practices. The collection of all tuition and student fees are conducted fairly and consider the rights of all parties. The collection of all monies owed to ALA by students for initial enrollment and continued enrollment is done according to session schedules and payment plans as outlined in admissions policies and procedures.

Obligation of Student Enrolled at ALA

The student is expected and required to meet all admissions requirements before signing an enrollment agreement, meet all financial obligations within the enrollment agreement, and follow cancelation and withdrawal procedures as applicable. The school adheres to confidentiality policies and respects the student's rights and privacy. American Language Academy will provide all services listed in the Student Catalog, as outlined on our website, and required of the enrollment agreement. ALA will maintain all records of the student as outlined in ALA's retention policy, and will provide a certificate of program completion and official transcript upon graduation.

Student Academy Integrity

Students are expected to act in accordance with ethical practices, academic honesty, and with high academic standards. A student makes the commitment to act with integrity and abstain from falsification in regards to plagiarism, cheating, and preforming acts of academic dishonesty when they enroll at American Language Academy. Students who are found in violation will immediately receive disciplinary action as listed in the Student Catalog.

Notice Concerning Transferability & Credentials Earned

Acceptance of a Program Graduation Certificate you earn in one of ALA’s English Language Programs is at the complete discretion of the institution to which you may seek to transfer. If the English Language Program Graduation Certificate that you earn at American Language Academy is not accepted at the institution to which you seek to transfer, you may be required to repeat some or all of your coursework at that institution. For this reason, you should make certain that your attendance at this institution will meet your educational goals. This may include contacting an institution to which you may seek to transfer after attending American Language Academy to determine if your English Language Program Graduation Certificate will transfer.

Complaint Policy

If a student has a complaint or grievance towards American Language Academy, he or she must submit a "Formal Student Complaint Form" in full. The Student Complaint Advisor or designated Student Services staff member will initiate an investigation to assess the student's grievance or complaint. The Program Director is the final authority on all academic matters and the President or Branch Manager is the final authority on all additional matters. The process of completing an investigation and communicating final findings and course of action to the student is no more than 10 business days from the submission of the complaint or grievance.
